A logbook is likely one of the most important documents you possess, as it proves vehicle ownership. If you needed to take a loan with your vehicle as collateral, it is the logbook you give out. Similarly, you cannot sell your car without it.
Losing a logbook is a big problem, but it could happen to anyone. The question is, how do you go about replacing a lost logbook in Kenya? The process of replacing a lost logbook is quite like that of replacing lost number plates.
Previously, the process of replacing a lost logbook in Kenya was manually done at the Kenya Revenue Authority (KRA) or the National Transport and Safety Authority (NTSA) offices. One had to queue at the nearest KRA or NTSA office with the necessary documents to replace it.
In the current digital era, the process is conducted online via the NTSA TIMS portal. You only need to create a TIMS account, log in, scan, and attach the prerequisite documents, make a payment, and wait to collect your logbook.
Required documents for loss of logbook application
If your logbook is lost, you need to scanned copies of the following documents:
- You should begin by visiting the nearest Huduma Centre or police station to request a police abstract. The abstract form should contain the name of the person whose name appears on the logbook
- You also need the tape lift report for the engine of your vehicle from the CID department
- An affidavit statement of the current owner
- Copy of ID/ Certificate of incorporation /Business Registration Certificate
Creating your NTSA TIMS account
- Lost logbook replacement is done via the TIMS Kenya account. After you have obtained the necessary documents, you should create the TIMS account if you do not have one.
- Fill the empty fields with the required information. your mother’s maiden name, cellphone number, KRA pin, occupation, your ID’s Serial no, and even your postal address as well
- After creating the TIMS account, you will be provided with the password you will use to log in to the account. In case you have forgotten your password, or you want to change it, you should reset your password on the portal.
Replace a lost logbook in Kenya-Step by step guide
- Login to your TIMS account using the username, ID number, certificate of incorporation, alien ID, or diplomatic ID number. Enter the password and click on “Get Code”. A six-digit code will be sent to the phone number you used to register the account
- Once you are logged in, check to see if the vehicle whose logbook is lost is on the list of “My Vehicles”. After confirming the vehicle is in your TIMS account, you should click on the “Vehicle Registration” tab
- Choose the “Apply for Duplicate Logbook” option and then go to “Create New”
- Click on the ‘Apply’ button adjacent to the registration number of the vehicle whose logbook is lost. A new page will open with the particulars of the vehicle
- Select the notification methods either SMS or E-mail
- Choose the counter collection office
- In the section which reads “Reason of Duplicate Logbook” select ‘Lost’
- Enter the ID number or Alien ID of the authorized person to collect and click on ‘Inquire’. Enter the mobile number of the person authorized to collect the logbook, if it does not appear automatically.
- Upload the police abstract, tape lift, and sworn affidavit by clicking the “file upload” button
- Once the files have been uploaded completely, proceed to the payment section
- To pay for this service, choose the payment method which suits you best from the options available. Click on the “complete” button after making the payment
- An invoice will be generated by the system as proof of the payment. Print and keep it.
- If the application is successful, you will be notified via phone or email that the vehicle has passed the application for a duplicate logbook
- A message will be sent to the phone number or email of the authorized person to collect the logbook when it is ready for collection
The duplicate logbook processing fee is Kshs. 2500. It is important to note that the service attracts a convenience fee of Kshs. 50. In addition, you will incur additional mobile money transfer charges when sending the money to the NTSA paybill number.
The processing time varies depending on several factors such as the number of pending duplicate logbook applications and the center of the collection, but it takes an average of seven days
You can check the status of the application to confirm if the application has been approved by NTSA. The only tool at your disposal to check for the logbook status is to log in to your TIMS account.
The status will read “Waiting for NTSA approval” until it is processed by the NTSA officials. Keep checking the status until it reads “Waiting to dispatch logbook” or “Waiting to print logbook”. At this point, you can visit the collection center to collect your logbook.
